How do I register my school on ACASTEM?
First, create a general user account. After signing up, the "Open School Account" option becomes available. Click it, fill in your school details, and submit. You'll receive a confirmation email once approved. Alternatively, use an onboarder's referral link to register.
What is the difference between a user account and a school account?
A user account is for individual access (admin, teacher, student, parent). A school account is created by an admin to manage the entire school. You need a user account first before creating a school account.
Who can edit school profile information?
Only admins can edit school details (logo, name, address, motto, Google location). Non-admin users (parents, students, staff) see an "Apply" button instead of edit options.
What should I do if I forget my password?
Click the "Forgot Password" link on the login page, enter your email or username, and a password reset link will be sent to you instantly.
School Setup & Structure
Setting up classes, subjects, and academic structure
How do I set up my school's class structure?
Go to Management → Setup Class Structure. Create class levels (e.g., KG1, Primary 1-6, JSS1-3, SS1-3). Add arms for each class (A, B, Science, Arts). You can also rename arms (e.g., "JSS1 Joy" instead of "JSS1A") and designate certain classes as "Decision Class" where students choose their preferred arm.
How do I assign subjects to classes?
Navigate to Management → Setup Subject Structure. Select a class and add subjects from the pre-loaded list. Saved subjects become the foundation for teacher assignments and result entry.
How do I assign teachers to classes and subjects?
Two separate assignments:
1. Class Teacher: Go to Management → Assign Class Teacher, select a class, and assign one teacher.
2. Subject Teacher: Go to Management → Assign Subject Teacher, select class/subject, and assign from dropdown.
What is a "Decision Class" and how does it work?
A Decision Class is where students choose their preferred arm/stream (e.g., Science or Arts in Senior Secondary). When a student reaches the level before the choice (e.g., SS1), the system prompts them to pick a stream for promotion to SS2. Teachers can override choices based on academic performance.
Academic Calendar & Terms
Managing sessions, terms, results approval, and promotions
How do I set up the academic calendar?
Go to Management → Calendar. For first-time setup, create your school's first admission academic session. This automatically creates First Term. To move to Second Term, click "Set Second Term" and Save. For Third Term, you must also create the next academic session before saving.
When can students view their results?
Only after the admin approves results in the Calendar page. Teachers enter scores in Set Results, but students cannot see them until admin approval. This ensures accuracy before release.
How does student promotion work?
1. Admin creates the next academic session in Calendar.
2. In Third Term, admin clicks "Approve Promotion" in Calendar.
3. Class teachers go to Promotion List, review students, and check/uncheck promotion boxes.
4. Students meeting passing requirements are automatically ticked; teachers can adjust based on special circumstances.
What happens if I don't create the next academic session?
You cannot move to Third Term or process promotions. The system requires the next session to exist because Third Term is the promotion term. Create it in the Calendar page before setting Third Term.
Admissions & Applications
Managing student/staff applications and admissions
How do I manage applications to my school?
Go to Management → Applicant List. Set Application Status (Open, Closed, Students Only, Staff Only). Use Shuffle Mechanism to evenly distribute applicants across class arms. Review applications table, click Accept/Deny for each, then click "Process Application" to finalize.
What is the Shuffle Mechanism?
When ON: Automatically distributes applicants evenly across available class arms (e.g., 10 applicants to Class 1 split into 5 in Class 1A and 5 in Class 1B).
When OFF: All applicants go into their chosen class arm without distribution.
How do returning members (graduates applying as staff) appear?
Returning members are highlighted with a gold/yellow color in the Applicant List table. This helps admins easily identify existing school members applying for new roles.
Results & Grading
Entering results, grading, and report cards
How do teachers enter student results?
Subject teachers go to Management/More button → Set Results. They see only classes/subjects assigned to them. Enter scores for each student and click Save. To mark a subject as "not taken", assign a null score (0).
What is a null score and how does it work?
A null score (0) indicates a student is not offering a subject (e.g., science student not taking Geography). The system interprets this as "subject not taken" - it won't appear in the student's result booklet or report card.
How do I view and download student results?
Go to Management → View Results. Class teachers see their assigned classes; admins see all classes. The summary table shows Total Score, Average, Position, and Performance. Select students and click "Download PDF" for printable report cards.
How do I set promotion requirements (passing scores)?
Navigate to Management → Grade. Set the school's passing score (e.g., 40% or 50%) and average score requirement. Students not meeting these in Promotion List are highlighted as failed.
Finance & Fees Management
Managing school finances, fees, and payments
How do I set up school fees?
Go to Management → Finance → Fees. The page lists all classes. Select a class to see/add compulsory fees. Create new fees, assign to specific classes or as general fees (applied to all). Set fee to ₦0 to hide it from students while keeping it in records.
What is the ICT Fee and can I change it?
The ICT Fee is a platform-wide compulsory fee applied to all students. You cannot reduce it below the platform-set amount, but you can increase it. The label "ICT Fee" is reserved and cannot be assigned to new fees.
How do students make payments?
Students access Payment Page from their dashboard. They see unpaid fees in the Payment List Table, select items, and make payments. Payment history is in the Payment Record Table. Admins can pay for any student; class teachers only for their class.
How does the school withdraw money from the platform?
First, set up bank details in Management → Finance → Finance Settings. Select bank, enter account number, click Check for verification, then Save. Then go to Finance Dashboard and use the Withdraw Button. Without verified bank details, withdrawals are impossible.
Onboarder Program
Earning commissions by referring schools to ACASTEM
What is the Onboarder Program?
A program that rewards users for bringing new schools to ACASTEM. Onboarders earn commissions based on school activity. Access it via your profile page after logging in.
How do I become an onboarder?
All users can participate. Go to your profile page, click "Onboarder Program" button. You'll receive a unique referral link to share with schools.
How do I share my referral link?
In the Onboarder Dashboard, find the Referral Link Section. Use the Share/Copy button to copy the link or share directly to WhatsApp, Facebook, or other platforms.
How do I receive my commissions?
1. Set up bank details in Onboarder Account Settings (select bank, enter account, verify, save).
2. Commissions accumulate in your onboarder dashboard.
3. Use the withdrawal function when ready. Without verified bank details, you cannot withdraw.

How can I contact ACASTEM support?
Use the support page, WhatsApp link, or email provided at the bottom of the website. We typically reply within minutes during business hours.
Why can't I see the "Open School Account" option?
You must first create a general user account and complete sign-up. The option only appears after you've signed up as a user.
Why can't I approve promotions in Promotion List?
The admin must first approve promotion in the Calendar page (usually in Third Term). Without this, the Consideration Column with checkboxes won't appear in Promotion List.
Can I delete a fee once created?
Fees are never deleted to maintain data integrity. Instead, set the fee amount to ₦0 (null price). This hides it from students while keeping it in admin records for potential future use.

Does ACASTEM pay salary?
Acastem is an EdTech platform and does not operate a fixed monthly salary system. However, Acastem offers an Affiliate Program where participants earn based on successful onboarding of schools.

An average successful onboarder can earn about ₦15,000 per school per term for a school with 200+ students. Onboarding 5 such schools can earn about ₦75,000, while 10 schools can earn about ₦150,000 per term.

Earnings are based on the school’s paying student population and may be higher for larger schools.

What courses are offered on ACASTEM?
Acastem is a school digitization and management platform, not a course-issuing institution. The courses available on Acastem are provided and managed by the individual schools using the platform.

These typically include subjects offered by Primary, Junior Secondary, and Senior Secondary schools.

Examples include English Language, Mathematics, Basic Science, Chemistry, Physics, Biology, Literature in English, Economics, and other school-approved subjects.
What does CSTEM mean?
